Trusted to act on initiative, we challenge conventional thinking to develop world-leading technologies that inspire progress in vital areas such as energy, food, water and shipping.

As we continue to grow, the innovative and open spirit that has characterised Alfa Laval for more than 140 years remains a key part of our culture. It encourages us to explore new ideas, develop our capabilities and create meaningful opportunities for personal and professional growth.

At Alfa Laval, you will become part of a diverse and inclusive workplace built on care, empowerment and collaboration. Here, you will have the opportunity to make a difference by helping develop sustainable solutions to some of the most urgent challenges facing our planet.

The position

We are looking for an experienced and highly organised Executive Assistant to support the CFO and the EVP, Brand & Communications.

In this role, you will provide high-quality executive and administrative support to two senior leaders in key global functions. You will help create structure, ensure effective coordination and contribute to the smooth execution of priorities across Finance, Brand and Communications.

The role requires someone who is comfortable working independently while also collaborating closely with colleagues and stakeholders across a global, matrix organisation. You will become an important point of contact for the two executives, their leadership teams and a broad network of internal and external stakeholders.

Who you are

You are positive, proactive and solution-oriented, with a strong sense of ownership and a natural ability to create structure around people, priorities and processes.

You enjoy working in a dynamic environment where priorities can change, and where good judgement, flexibility and attention to detail are essential. You are comfortable taking initiative, following up on open matters and ensuring that important activities move forward.

You are a confident communicator and a skilled relationship builder who can interact professionally with people at all levels of the organisation. You understand the importance of discretion and integrity when working with sensitive information, and you are able to establish trust with senior leaders and colleagues alike.

You are also interested in how technology can improve ways of working. You are curious about new tools, including AI-supported solutions, and look for practical ways to increase efficiency and improve the quality of executive support.

Your responsibilities

As Executive Assistant, you will work closely with the CFO and the EVP, Brand & Communications. Your responsibilities will include:

Executive and leadership support

·        Act as a trusted and reliable partner to the CFO and the EVP, Brand & Communications, helping them manage priorities and execute their responsibilities effectively.

·        Provide day-to-day administrative and operational support, including calendar management, meeting coordination and follow-up.

·        Help structure and maintain the annual planning cycle for both functional areas, including recurring meetings, key milestones and leadership activities.

·        Coordinate leadership team meetings in Finance and Brand & Communications, including invitations, agendas, meeting materials, minutes and follow-up on actions.

·        Maintain an overview of priorities, deadlines and agreed actions, ensuring timely follow-up where needed.

·        Serve as a professional point of contact for internal and external stakeholders and help coordinate communication across the two functions.

·        Anticipate changes in plans and priorities and support the executives with practical solutions when adjustments are required.

·        Prepare and coordinate meetings, workshops, conferences, webinars and other executive engagements.

·        Support the preparation of presentations, briefing materials and other documents when required.

Travel and administration

·        Arrange domestic and international travel, including flights, accommodation, ground transportation and restaurant or catering bookings.

·        Coordinate travel itineraries and make sure that relevant meetings and practical arrangements are in place.

·        Support the handling and administration of travel expenses.

·        Manage invoice administration and follow up on approvals where required.

·        Review and approve monthly time reports for the relevant departments.

·        Provide general administrative support to ensure the efficient day-to-day running of the office and the two functional areas.

·        Handle confidential information with a high degree of discretion and professionalism.

Digital collaboration and process improvement

·        Maintain and update relevant SharePoint and Teams sites on the company intranet.

·        Administer access rights and ensure that information is organised and available to the relevant colleagues.

·        Contribute to the continuous improvement of administrative processes, meeting structures and ways of working.

·        Identify opportunities to use digital tools and AI to simplify tasks, improve workflows and strengthen executive support.

·        Support the implementation of new tools, systems and processes as needed.

·        Collaborate with Alfa Laval’s global network of Executive Assistants and administrative professionals to share knowledge and coordinate activities.

What you bring

You are an experienced Executive Assistant or senior administrative professional who is comfortable supporting senior leaders in an international organisation.

To succeed in this role, you bring:

·        Relevant experience and previous experience, preferably in an Executive Assistant role supporting senior management in a global or matrix organisation.

·        Excellent organisational, coordination and time-management skills.

·        The ability to maintain a broad overview while managing operational details accurately.

·        A proactive approach and the confidence to take ownership, ask questions and follow up until matters are resolved.

·        Strong judgement and the ability to prioritise effectively when circumstances change.

·        Excellent interpersonal and collaboration skills, combined with a diplomatic and professional approach.

·        Strong written and verbal communication skills in English.

·        Fluency in Swedish and English.

·        A positive and collaborative mindset, with a genuine interest in supporting colleagues and contributing to a constructive work environment.

·        The ability to handle confidential and sensitive information with discretion.

·        Proficiency in Microsoft Office, including Word, PowerPoint and Excel, as well as Teams and SharePoint.

·        An interest in technology and practical experience using AI tools to improve efficiency and support daily work.

·        The flexibility and resilience to work in a dynamic environment with changing priorities.

·        A bachelor’s degree or equivalent relevant experience.
