About The Job

This role will be based in The Ascent, PJ.

The Order Management Executive for Modular & Project Orders is responsible for accurate, compliant, and timely execution of complex, engineering-driven customer orders. The role manages the full order lifecycle—from order booking to delivery and invoicing—ensuring contract compliance, documentation accuracy, and high customer satisfaction through proactive coordination with Project Managers, Sales, Factories, Logistics, and Finance.

Job Description

Discuss Order Review and Booking

  • Ensuring contract compliance with quotation, procedures and policies, correct order entry, documentation accuracy, equipment configuration validation, and milestone management.

  • Validate order scope and manufacturability before booking.

  • Ensure correct order entry in ERP for modular, multi-line, or project-based configurations.

Project Execution and Coordination

  • Coordinate with Project Managers, Sales, and Supply Chain to monitor progress.

  • Support project timelines by tracking engineering releases, production status, FAT readiness, and delivery schedules.

  • Manage change orders, variation requests, and updated documentation throughout project lifecycle.

  • Manages order backlog management on timely invoices and accurate forecast.

  • Supporting claims closure with stakeholder

  • Manage Installed Base updates in OneIB platform.

Supply Chain and Logistics

  • Raise and manage purchase orders to supply centers or external vendors for long lead and custom components.

  • Follow up on material readiness, consolidation planning, and logistics coordination.

  • Ensure timely and accurate delivery aligned with project milestones.

Documentation and Compliance

  • Prepare and manage complete project documentation, including shipping documents, COO, COC certificates, bank guarantees, and Letter of Credit (L/C) processing.

  • Secure proof of delivery and ensure proper archiving for audit readiness.

  • Ensure first-time-right documentation and order processing.

Invoicing and Financial Controls

  • Initiate timely invoicing based on contract terms (milestones, shipment, partial payments).

  • Ensure correct submission of billing documents to support cash collection.

  • Coordinate with Finance and Project Managers on advance payments, bank guarantees, LC documentation, and final billing.

Backlog Management and Risk Mitigation

  • Maintain accurate backlog records and ensure daily follow-up on order progress.

  • Identify and escalate risks related to engineering delays, supplier issues, production constraints, or logistical challenges.

  • Participate in backlog review meetings and drive resolution of blockers.

What You Know

  • Bachelor’s degree in Business Administration, Supply Chain, or related field.

  • Minimum 3–5 years’ experience in complex order handling, modular or project order execution.

  • Experience working in an engineering or manufacturing environment is preferred.

  • Strong understanding of project-based order handling, BOMs, and modular configurations.

  • Knowledge of ERP order processing (iScala/MS Dynamics or equivalent).

  • Ability to perform business support services including commercial terms review skills and interact with individuals at all levels.

  • Experience with logistics processes, good in Incoterms, export/import documentation, and supply chain coordination.

  • Strong attention to detail and structured working approach.

  • Effective communication and stakeholder management skills.

  • Problem-solving and analytical thinking for complex scenarios.

  • Customer-centric mindset with proactive follow-through.

  • Ability to work collaboratively with cross-functional teams.

  • Ability to prioritize multitask, work independently with minimum supervision.
