Who you are:

The project support coordinator handles the documents for products such as boiler, burner, control system, cyber security, EGC, Heater as per the project milestone plans in ERP system (Axapta, Magic) and is the bridge between project engineers and Class Societies and provides some temporary supports to the business lines in Denmark if needed.  One of the major works is to handle the submission of drawings to classification society for approval, and act as a liaison to communicate and resolve technical comments between the classification society and engineering team. We need a seasoned professional to optimize the class approval and track submission milestones to consistently meet deadlines.

About the job:

Class Approval handling & Technical comments clarification coordination

  • Check the project milestone schedule and Tao factory’ hydrotest and FAT schedule and make the class documents submission and approval plan.
  • Compile the class documents as per requirements with good quality and submit to the Class for review in a timely manner.
  • Follow up with the Classes to get on time class approval.
  • Coordinate the comments communication/clarification between the Classes and project engineers.
  • Work together with the project master planning and PM to ensure the milestone date for the class approval is correct.
  • Regular meeting with Tao Factory and electrical parts suppliers to update the class approval progress. 

Class Approval Process Optimization

  • lWork together with the team leader to identify the bottlenecks in the current workflow and shorten cycle times to achieve more than 90% on time approval.
  • lWork together with team leader to update the SOP, process map.

Booklet and Green passport

  • Make the booklet and green passport as per milestone plan in ERP system (Axapta and Magic).
  • Share the booklets and green passports with the project manager and archive them in project folders.
  • Work with the procurement to ask suppliers to submit the certificates.
  • Close the milestones in ERP system (Axapta and Magic).

Milestone Tracking & Risk Warning

  • Weekly monitor all products’ key activities, such as, plan pre-checking, documents submission, communications and final class approval.
  • Proactively flag potential delays for all products and escalate risks before deadlines.

Continuous Improvement & Governance

  • Contribute to continuous improvement initiatives related to class drawing submission and review.
  • Monitor and drive for the milestone plan of class approval in system to ensure data accuracy.

Team Knowledge Transfer

  • Work together with the team leader to conduct case study reviews and short training sessions on class societies requirements or lessons learned.
  • Work together with the team leader to establish a frequent comments library with countermeasures to prevent repeated errors.

 Who you are:

Required Skills and Experience

  • Solid experience with ERP systems (preferably Axapta/D365 or similar).
  • Proven track record in working experience with class societies of marine equipment, including at least 2 years independently handling multi-round submissions.
  • Familiar with submission procedures and rules of at least 2 major class societies (eg. DNV, LR, ABS, BV), document handling or project coordination.
  • Proven ability in milestone planning tracking and schedule management (Gantt charts, milestone plans etc.)
  • Capable of predicting high-risk drawings that are likely to be rejected or delayed.
  • Experience with structured workflows and cross-functional collaboration in a technical or project-driven organization.
