About the job
As an Executive Assistant at Alfa Laval, you will provide high-level secretarial and administrative support to our Divisional and Business Unit heads. This role demands discretion, confidentiality, and a deep understanding of our organization’s operations, procedures, and key stakeholders.
You will expertly manage complex calendars, coordinate regional travel, and handle confidential information while ensuring smooth communication flow across the leadership team. With autonomy and sound judgment, you will take ownership of your workload to deliver timely and precise administrative support, contributing directly to the efficiency and success of our executive leadership. Key responsibilities include:
Managing executives’, appointments, schedules, and travel arrangements to maximize their time and impact.
Handling sensitive and confidential records securely and with utmost discretion.
Preparing documents, presentation materials, and official communications.
Coordinating and attending meetings, taking and distributing minutes, and managing correspondence and inquiries.
Take lead on arranging events, internal and external
Knowledge of working with in office 365 and handling of SharePoint solutions
At Alfa Laval, we embrace a hybrid work model, providing you the flexibility to work from home when it aligns with your tasks. This position is based at our Søborg office in Copenhagen, with an expected travel commitment of up to 10 days per year.
What you know
You bring significant experience and a strong knowledge base that enables you to excel in an executive support role within an international environment. Your familiarity with technical and business terminology allows you to communicate effectively across functions and regions. Your expertise includes:
5 to 10 years of executive assistant experience supporting senior leaders, in a global matrix organization.
Bachelor’s degree in business administration, communication, or a related field (or equivalent professional experience).
Fluent in English; knowledge of Danish or Swedish is an advantage.
Ability to exercise independent judgment and discretion when handling sensitive matters.
