Logistical Projects Government Support

  • Greenwood
  • Full time

Every day, we get opportunities to make a positive impact – on our colleagues, partners, customers and society. Together, we’re pioneering the solutions of the future and unlocking the full potential of precious resources. Trusted to act on initiative, we challenge conventional thinking to develop world-leading technologies that inspire progress in vital areas, including energy, food, water and shipping.

As we push forward, the innovative, open spirit that fuels our 140-year-old start-up culture and rapid growth also drives our personal growth. So, as we shape a more resourceful, less wasteful world, we build our careers too.

About the job

The Logistical Projects Government Support is available to provide direct support to internal and external customers, handling complex component, project, field service, and service operations orders throughout the order-to-cash process—from customer order to invoicing. This role ensures customers are kept updated on deliveries and any potential delays to maintain satisfaction and trust.

This includes activating internal processes for seamless order execution and collaborating simultaneously with various business units and products, both known and unknown. The specialist ensures reliable operation, optimum performance, and efficiency in all customer interactions.

The ideal candidate must be able to manage the complexities of the order process and maintain clear communication with all stakeholders. Ensuring customer and business satisfaction is paramount.

Currently, this is a Hybrid opportunity located in Greenwood, IN.

As a part of the team, you will:

  • Provide customer support throughout the process, including order status updates and delivery dates.

  • Purchase, control, and prepare supplier shipping documents.

  • Coordinate export and import documentation, logistics, and customs clearance.

  • Handle the supplier database and maintain backlog and work-in-progress records.

  • Administer claims and attend weekly meetings with our US main shipping warehouse (AMDC) to discuss parts backlog.

  • Oversee Naval Supply Systems Command (NAVSUP) projects, including the efficient entry of receiving reports in the White Area Work Force (WAWF) system for QAR (Question-Answer Relationship) approval. Ensure accurate and timely invoicing in the Wide Area Workflow (WAWF) system; Public Key Infrastructure (PKI) certification is required.

  • Maintain the Government Inventory Spreadsheet, ensuring information is current.

  • Assist with government audits.

  • Support Accounts Payable/Receivable with basic accounting functions, such as processing credits for returns, providing proof of delivery for invoicing, and receiving purchase orders to ensure vendor payments.

  • Maintain a flexible hybrid work schedule, spending 3 out of 5 days a week in the office.

We care about diversity, inclusion and equity in our recruitment processes. We also believe behavioral traits can provide important insights into a candidate's fit to a role. To help us achieve this we apply Pymetrics assessments, and upon application you will be invited to play the assessment games.

What you know:

You have a high school diploma or an Associate degree in business or a related field, and 2+ years of experience in a customer service role, preferably in a technical or industrial environment. You possess:

  • Familiarity with US Government contracts

  • Excellent interpersonal, communication, and organizational skills

  • Strong written and verbal communication abilities

  • A strong commitment to providing quality service and achieving customer satisfaction

  • Proficiency in word processing, spreadsheet, and database software

  • Ability to maintain professionalism and composure in high-stress situations
